Privacy Policy

This Privacy Policy (“Policy”) describes how Renteos and its affiliates, subsidiaries, and assigns (collectively, “Renteos,” “we,” “us,” or “our”) collect, use, disclose, store, and protect information in connection with the Renteos platform, website, applications, APIs, and related services (the “Service”). By accessing or using the Service, you acknowledge that you have read, understood, and agree to the practices described in this Policy. If you do not agree, you must immediately cease use of the Service.

Information We Collect

1.1 Information You Provide

  • Account and profile information — name, email address, phone number, mailing address, organization name, role, and authentication credentials
  • Property and tenant data — property details, unit information, lease terms, charge records, payment history, tenant contact information, and related documents you enter or upload
  • Financial information — billing address, payment method details processed through our third-party payment processors
  • Communications — messages, feedback, support requests, and any other information you provide when you communicate with us

1.2 Information Collected Automatically

  • Device and access information — IP address, device type, unique device identifiers, browser type and version, operating system, language preferences, and referring URLs
  • Usage data — pages visited, features used, actions taken, clickstream data, timestamps, session duration, frequency of visits, and interaction patterns
  • Location data — approximate geographic location derived from IP address
  • Log data — server logs, error reports, performance data, and diagnostic information

1.3 Information from Third Parties

We may receive information about you from third parties, including authentication providers (such as Clerk), payment processors, analytics services, advertising partners, and publicly available sources. We may combine this information with other data we collect about you.

1.4 Derived and Inferred Information

We may derive or infer additional information about you based on the data we collect, including usage patterns, preferences, behavioral trends, and user segments.

How We Use Your Information

We use the information we collect for the following purposes, to the extent permitted by applicable law:

  • Provide, operate, maintain, personalize, and improve the Service
  • Process transactions, send billing notifications, and manage subscriptions
  • Send administrative communications, including technical notices, security alerts, updates, and support or account-related messages
  • Respond to your inquiries, comments, and customer service requests
  • Monitor, analyze, and measure trends, usage, activities, and performance in connection with the Service
  • Detect, investigate, and prevent fraud, unauthorized access, illegal activities, security incidents, and other harmful or abusive behavior
  • Develop, test, and improve new products, features, and functionalities
  • Generate aggregated, anonymized, or de-identified data sets for analytics, benchmarking, machine learning, artificial intelligence model training, product development, and research purposes
  • Enforce our Terms of Service and other agreements, and protect the rights, property, and safety of Renteos, our users, and the public
  • Comply with legal obligations, legal processes, and governmental requests
  • Send marketing communications about products, services, features, and events we believe may interest you (subject to your opt-out rights described below)
  • Carry out any other purpose described to you at the time of collection or for which you provide consent

Information Sharing and Disclosure

We do not sell your personal information as that term is commonly understood. We may share your information in the following circumstances:

  • Service providers and processors — with third-party vendors, consultants, and service providers who perform services on our behalf, including hosting, data storage, analytics, payment processing, customer support, email delivery, and security services, subject to appropriate contractual protections
  • Affiliates and subsidiaries — with our current and future affiliates, subsidiaries, and parent companies for purposes consistent with this Policy
  • Professional advisors — with lawyers, auditors, consultants, insurers, bankers, and other professional advisors as necessary in the course of their engagement
  • Business transfers — in connection with, or during negotiations of, any merger, acquisition, sale of assets, financing, reorganization, bankruptcy, receivership, dissolution, or similar transaction involving Renteos
  • Legal compliance and protection — when we believe in good faith that disclosure is necessary to comply with applicable law, enforce our Terms of Service, protect the rights, property, or safety of Renteos, our users, or the public, or detect, prevent, or address fraud, security, or technical issues
  • Aggregated and de-identified data — we may share aggregated, anonymized, or de-identified information that cannot reasonably be used to identify you, with any third party for any purpose, without restriction
  • With your consent or direction — when you instruct us to share information with specific third parties or when you otherwise consent to such sharing

Cookies, Tracking Technologies, and Analytics

We use cookies, pixel tags, web beacons, local storage, and similar technologies to collect information about your use of the Service. These technologies help us operate and improve the Service, analyze usage, personalize your experience, and deliver relevant content.

We may use third-party analytics services (such as Vercel Analytics, Google Analytics, or similar) that use cookies and similar technologies to collect and analyze information about the use of the Service and report on activities and trends. You can learn more about these practices and exercise your choices regarding these technologies through your browser settings. Note that disabling certain cookies may impair the functionality of the Service.

Data Security

We implement commercially reasonable administrative, technical, and physical safeguards designed to protect your information from unauthorized access, alteration, disclosure, or destruction. However, no method of transmission over the Internet, method of electronic storage, or other security measure is completely secure or error-free, and we cannot and do not guarantee the absolute security of your information. You acknowledge and accept that you transmit information to the Service at your own risk.

In the event of a data breach affecting your personal information, we will comply with applicable breach notification laws and regulations.

Data Retention

We retain your personal information for as long as your account is active and for a commercially reasonable period thereafter, or as needed to: (a) provide the Service to you; (b) fulfill the purposes described in this Policy; (c) comply with our legal, regulatory, and contractual obligations; (d) resolve disputes and enforce our agreements; (e) maintain appropriate business records; and (f) exercise or defend legal claims.

Aggregated, anonymized, or de-identified data that cannot reasonably be used to identify you may be retained and used indefinitely without restriction.

International Data Transfers

Your information may be transferred to, stored, and processed in the United States or other countries where Renteos or its service providers operate. These countries may have data protection laws that differ from those of your country of residence. By using the Service, you consent to the transfer of your information to the United States and other jurisdictions as described in this Policy. We will take reasonable steps to ensure that your information is treated securely and in accordance with this Policy.

Your Rights and Choices

Depending on your jurisdiction, you may have certain rights regarding your personal information, including the right to:

  • Access the personal information we hold about you and receive a copy thereof
  • Request correction or update of inaccurate personal data
  • Request deletion or erasure of your personal information, subject to certain exceptions
  • Object to or restrict certain processing of your personal data
  • Request portability of your personal data in a structured, commonly used, and machine-readable format
  • Withdraw consent where our processing is based on your consent, without affecting the lawfulness of prior processing
  • Opt out of marketing communications by following the unsubscribe instructions in any marketing email or by contacting us directly (note: you may still receive transactional, administrative, and service-related communications)

We will respond within the timeframe required by applicable law. We reserve the right to deny requests that are unreasonable, excessive, repetitive, or not required by applicable law, and to charge a reasonable fee for manifestly unfounded or excessive requests where permitted.

California Privacy Rights (CCPA/CPRA)

If you are a California resident, you may have additional rights under the California Consumer Privacy Act and California Privacy Rights Act, including the right to know what personal information we collect, the right to delete personal information, the right to correct inaccurate personal information, and the right to opt out of the sale or sharing of personal information. We do not sell personal information as defined under the CCPA/CPRA. We will not discriminate against you for exercising your privacy rights.

Third-Party Services

The Service may contain links to, or integrations with, third-party websites, applications, or services that are not owned or controlled by Renteos. This Policy does not apply to such third-party services. We are not responsible for the privacy practices, content, or security of any third-party services and encourage you to review their respective privacy policies before providing any personal information.

Children's Privacy

The Service is not directed to, and we do not knowingly collect personal information from, individuals under the age of 18 (or the applicable age of majority in your jurisdiction). If we become aware that we have collected personal information from a child without appropriate parental consent, we will take commercially reasonable steps to delete such information promptly. If you believe we have collected information from a child, please contact us immediately.

Do Not Track Signals

The Service does not currently respond to “Do Not Track” (“DNT”) browser signals or similar mechanisms. We will reassess this position as a uniform standard is established.

Data Controller and Processor Roles

For the purposes of applicable data protection laws, Renteos acts as a data processor with respect to User Content (including tenant personal data) that you upload to the Service. You, as the landlord or property manager, act as the data controller for such data and are solely responsible for ensuring that your collection, use, and processing of tenant personal data through the Service complies with all applicable data protection laws, including obtaining any required consents.

Changes to This Policy

We reserve the right to modify this Policy at any time in our sole discretion. We will notify you of material changes by posting the updated Policy on this page with a revised effective date. Changes are effective immediately upon posting unless otherwise stated. Your continued use of the Service following the posting of any revised Policy constitutes your acceptance of such changes. We encourage you to review this Policy periodically. If you do not agree with any changes, you must stop using the Service.
